Late Dues Inquiries

Within the past two weeks, the Salem Hills Board has received many inquires about dues payments. On 9/23/09 all initial invoices were mailed to residents.  Approximately 45 days later, a letter was mailed to residents who had not yet submitted dues payments.  Many of these residents’ recent inquires are in response to our mailing to residents who have overdue invoices.  These residents are asking the Board to check if their payment within the past 2 weeks had been received.  Please be patient, and wait 30 calendar days for your checks to clear.

As residents should be aware, the Board is a volunteer organization and although we devote many hours a month to serving our community, we have a process of handling payments to ensure there are checks and balances with our finances. Unfortunately this process takes time because the Association does not have staff dedicated to serving the needs of the residents.  

One Board member checks the post office box approximately once a week.  From that point, copies are made of all checks received.  These are tabulated, then submitted to the Treasurer.  The Treasurer then gives the checks to an assistant, who makes the bank deposit and records payments into our accounting software.   The assistant provides the Treasurer with updated accounting approximately once per month.

Again, please be patient and wait 30 calendar days for payments to be processed.  Phoning Board members in the interim and hanging up on them is neither  appropriate nor productive.
